Account Clerk III

General Statement of Duties:

To perform responsible bookkeeping and complex clerical work of more than moderate difficulty involving the application of bookkeeping principles to a variety of common transactions: to operate the various electronic data processing equipment involving posting from various source records to control records, accounts, statements and bills; computer and post interest and other amounts to various accounts; computer payroll and maintain records; perform a variety of clerical tasks involved in receiving and accounting of city funds; and to perform related work as required.

Supervision Received:

Work is preformed under the general supervision of the Finance Director and/or any other designated supervisor.

Typical Example of Work:

An employee is this call may be called upon to do any or all the following: (These examples do not include all of the tasks which the employee may be expected to perform.)

  • Operate electronic data processing equipment to post records to various accounts.
  • Operate Protectograph and check signer in the work involved in issuing checks.
  • Maintain journals, registers, ledgers and other bookkeeping and accounting records for the City.
  • Summarize and balance journal entries and apportion and post to individual accounts and ledgers.
  • Register and check vouchers against requisitions and purchase orders to verify accuracy, completeness and form; pre-audit bills prior to payment; type reconciliations of all accounts.
  • Compute refunds, discount and deductions and maintain payroll records for the City.
  • Prepare periodic trail balances for applicable journals and ledgers.
  • Prepare monthly financial statements and other required financial reports.
  • Assist in the compilation of data for the computation of the annual budget for the City.
  • Prepare city, school and county tax rolls and bills.
  • Prepare and compute all records, invoices and vouchers for payroll and utility billing.
  • Type miscellaneous reports, statistical records, ledger sheets and similar records bookkeeping activities.
  • Receive money from the public in payment of utility bills, taxes and other accounts.
  • Give tax information to the public.
  • Responsible for minor administrative decisions in the absence of immediate supervisor.
  • Perform miscellaneous routine office tasks as required.
  • May plan, assign and supervise the work of subordinates engaged in routine bookkeeping work.
  • Type purchase orders and assign account numbers.
  • Handle billings for employee life insurance and hospitalization insurance.
  • Check office supplies and order as needed.
  • Perform related work as required.

Desirable Qualifications for Employment:

  • Considerable knowledge of accounting principles and procedures as applied to commercial, cost and budgetary encumbrancing in accounting.
  • Considerable knowledge of modern office methods, practices and procedures.
  • Ability to prepare relatively complex financial reports and statements.
  • Ability to understand and execute complex oral and written instruction and to work out detailed working procedures appropriate to objectives indicated.
  • Ability to establish and maintain satisfactory working relationships with the public and other employees.

Typical Examples of Work:

An employee in this class may be called upon to do any or all of the following: (These examples do not include all of the tasks which an employee may be expected to perform.)

  • Graduation from an accredited high school supplemented by two years of business school training in accounting and bookkeeping.
  • Three years experience in accounting, bookkeeping and related clerical operations.
  • One years experience in operating electronic data processing equipment.
